How A.I. In Team collects, uses, and protects your data

Plain-English summary. This policy explains what data we collect, how we use it, and your rights. The short version: we collect minimum necessary data to operate this website and provide voice agent services. We don't sell your data or share it with advertisers. Voice and call data captured by our demo agent or by client agents we operate is treated as confidential and protected. You have rights to access, correct, and delete your data.
1.Who We Are
A.I. In Team is operated by Steven Lewis as a sole proprietor or registered Washington business entity, located in Kitsap County, Washington. For privacy-related questions or data requests, contact steven@aiinteam.com.
2.What Data We Collect
Website visitors
- Standard server logs: IP address, browser type, pages viewed, timestamps. Used for security and basic analytics.
- Cookies: Minimal use. We do not use third-party advertising or tracking cookies.
- Booking form data: If you book a discovery call via Cal.com, we receive your name, email, business name, business website, and free-form notes about your missed-call situation.
Demo agent callers
If you call our public demo agent number, we collect:
- Caller phone number (provided by your carrier)
- Audio recording of the call
- Automatic transcript of the call
- AI-extracted details you provided (name, email, intent, etc.)
- Call timestamp and duration
Calls are answered by an AI agent that discloses its AI status and recording within the first sentence. By continuing the call after that disclosure, you consent to the recording.
Clients of our voice agent service
If you become a paying client, we additionally collect:
- Business information (name, address, services, hours, FAQ content)
- Owner contact information (name, phone, email)
- Calendar integration credentials (where you authorize this for booking integration)
- Payment information (collected and stored by Stripe; we never see full card details)
- Voice recordings (only if you purchase the voice cloning add-on, governed by a separate Voice Cloning Consent Form)
Calls handled by client agents we operate
When we operate a voice agent on behalf of a client business, the agent captures call recordings, transcripts, and post-call data from the client's customers. This data belongs to the client, not to us. We have a limited license to use it solely to provide the service. See the Master Services Agreement for details.
3.How We Use Data
We use collected data only for the following purposes:
- Operating this website
- Responding to inquiries and booking discovery calls
- Building, deploying, and operating voice agents for clients
- Tuning and improving agent performance for the specific client whose data is involved
- Billing and payment processing
- Complying with legal obligations and resolving disputes
We do not:
- Sell, rent, or share data with third parties for marketing
- Use client call data to train AI models for purposes outside that client's service
- Share data with advertisers or analytics platforms beyond basic server-log analysis
4.Third-Party Services We Use
We rely on the following third-party services to deliver our offering. Each has its own privacy practices:

We chose these providers in part for their security and compliance posture. Retell AI is SOC 2 Type II certified, HIPAA-ready, and GDPR-compliant. Stripe is PCI-DSS Level 1 certified. We do not control these third parties' privacy practices but rely on their compliance certifications and contractual commitments.
5.How Long We Keep Data
- Website logs: 90 days, then deleted
- Demo agent calls: Indefinitely, for product improvement, unless you request deletion
- Discovery call bookings: Retained until the relationship ends or you request deletion
- Client business and billing data: Retained for the duration of the relationship plus seven years for tax and legal record-keeping
- Client agent call data: Returned to client at termination via CSV export; we delete our copies within 90 days post-termination
- Voice clones: Deleted within 30 days of relationship termination or revocation of consent, per the Voice Cloning Consent Form
6.Data Security
We implement reasonable technical and organizational measures to protect data, including:
- Encrypted data in transit (HTTPS/TLS) and at rest where supported by our providers
- Access controls limiting data access to only those who need it (currently just Steven Lewis as the sole operator)
- Reliance on third-party services with mature security certifications (Retell, Stripe, Google)
- Regular review of access logs and account security
No system is perfectly secure. In the event of a data breach affecting your information, we will notify you in accordance with applicable law.
7.Your Rights
Depending on your location, you may have rights including:
- Access: Request a copy of the data we hold about you
- Correction: Ask us to correct inaccurate data
- Deletion: Ask us to delete your data, subject to legal retention requirements
- Portability: Request your data in a portable format (we provide CSV exports for clients on cancellation)
- Opt-out of recording: If you call our demo agent and don't wish to be recorded, hang up after the recording disclosure
To exercise any of these rights, email steven@aiinteam.com with your request. We aim to respond within 30 days.
California residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect and to request deletion. We do not sell personal information.
European residents (GDPR)
If you are in the European Economic Area, you have additional rights under the General Data Protection Regulation. The legal basis for processing your data is typically: (a) contract performance, (b) legitimate interests in operating our business, or (c) your consent.
8.Children's Privacy
Our services are not directed to children under 16. We do not knowingly collect data from children. If you believe a child has provided us with information, contact us and we will delete it.
9.Cookies
We use minimal cookies to operate the website. We do not use third-party advertising or behavioral tracking cookies. Most browsers allow you to disable cookies in your settings; doing so may break some site functionality.
10.Changes to This Policy
We may update this policy from time to time. The Effective Date at the top reflects the most recent revision. Material changes affecting your rights will be communicated to active clients by email at least 30 days in advance.
